Email Encryption

Overview

Sending encrypted emails helps protect sensitive information from being read by anyone other than the intended recipient. Microsoft Outlook offers built-in encryption options that ensure your message content and attachments remain secure. This guide explains how to send an encrypted email using Outlook on both desktop and web versions.


Steps to Follow

For Outlook Desktop (Windows or macOS)

  1. Open Outlook and click New Email to start a new message.

  2. Enter the recipient's email address, subject, and message content.

  3. In the top menu, select the Options tab.

  4. Click Encrypt. A drop-down will appear.

  5. Choose your preferred encryption option:

    • Encrypt-Only: Only recipients with the right credentials can read the message.

    • Do Not Forward: Recipients can't forward, print, or copy the content.

  6. Send the email as usual by clicking Send.

Note: If you don't see the Encrypt button, your account might not support encryption. Contact your IT administrator.
