Barracuda User Guide

Overview

Barracuda is a tool that helps keep your email safe. It blocks spam, phishing attempts, and other suspicious messages before they reach your inbox. If Barracuda isn’t sure about an email, it puts it in a holding area called quarantine, where you can review it yourself. 

This guide will help you understand how to sign in, check your quarantined emails, and know what to do if something looks suspicious.


Account Sign In

  1. Sign into Barracuda at Barracuda Login.
  2. Enter your credentials (e.g., firstname.lastname@matsugov.us).
  3. Click Sign In.

Distribution Group Sign In

  1. Sign into Barracuda at Barracuda Login.
  2. Enter email address that you're wanting to manage.
  3. Select the "Email me a temporary passcode"

  1. You will receive an email with the temporary passcode to sign in

1. Settings

  • What it does: Lets you choose how often Barracuda sends you email alerts about quarantined messages. Current default is once a week every Friday between 9AM and 10AM.
  • How to Use it:
    • Click the the gear ⚙️icon.
    • Choose how often you want notifications (daily, weekly, etc.).

2. Delivering Emails

  • What it Does: Lets you move emails from quarantine to your inbox. Look through the quarantined emails carefully - remember your security training, if you are unsure about an email, reach out to IT for assistance!
  • What You'll See:
    • Delivered Emails
    • Quarantined Emails
    • Blocked Emails
  • How to Handle Quarantined Emails
    • ​​​Look through the quarantined emails carefully, remember your security training. If you are unsure about an email, reach out to IT for assistance!
      • If the block reason is SPF, DKIM, or DMARC: Submit a ticket to IT so they can work with the vendor to resolve the issue permanently.
      • If the block is due to a password-protected PDF, use extreme caution, as Barracuda is unable to scan PDFs for malicious content.
  • How to Use it:
    • If you see one that looks safe and you want it in your inbox check the box next to it 
    • Click Deliver.


3. Filtering Options

  • What it does: Helps you sort through quarantined emails to find what you’re looking for. 
  • How to Use:
    • Use filters to sort by:
      • Date Presets
      • Action Taken (quarantine, allowed, blocked, etc.)
      • Delivery Status (delivered, not delivered, etc.)
      • Security Reason for Block

4. Why Emails Get Blocked

  • What it means :Barracuda blocks emails for different reasons. Some common ones are:
    • SPF: Confirm the sender is allowed to use their domain name. 
    • DKIM: Make sure the message hasn’t been changed. 
    • DMARC: Enforce our rules and keep us informed. 
    • GeoIP: Block risky messages based on location.

5. Common Quarantine/Code Reasons and Response

Code Why Quarantined Response/Remediation
Deferred N/A Deferred is a temporary hold while item is processed or scanned. Item will be processed and move onto a status of delivered, blocked, or quarantined depending on results.
Score Email or attachment were suspicious Analyze and deliver if expected. Continue to monitor and manually deliver. IT unable to bypass for security reasons.
To/CC Address External sender used the BCC field Analyze and deliver if expected. Continue to monitor and manually deliver. IT unable to bypass for security reasons.
