Shared User Labels

 

SHARED LABELS

This document provides instructions on how to create a shared label by using a group as the label owner. Whomever is in the group will be able to see the label.  You should check with your group first to make sure they want to share the label before you build it. 

 

To Create a Top-Level User Label: 

1.       From your “Favorites” Shortcuts Bar, click the User Labels icon.  The User Labels window appears. This window will show your current User Labels. If you have not created any user labels, you will still have access to the User Labels with the owner showing MSB.     

2.       Right-click in the User Labels window and from the New menu, choose New Top Level Item.  This will create a new user label at the highest level. 

3.       Complete the fields provided to assign a name for the new label, and select an icon (if you do not select an icon one will be selected for you).

4.       In the owner field, the owner is auto populated as yourself. You will want to change this to the department or division you are creating the label for. Type in the department/vision’s name or search by clicking on the magnifying glass.

i           To search for the location (department) you need, click on the magnifying glass. A search window will appear. If you do not have the location in your favorites, select All and then type in the department or division you are looking for. This will make a Prefix Search window appear. Finish typing and select ok.  Then select ok on the search screen to enter the location into the User Label window.

 

5.       Use the Notes tab if you want to enter any notes regarding your new label.

6.       Select ok to create the shared User Label

 

If you create a label without using the department or division as the owner they are not shareable and you will need to create a new shared label. Please note, everyone that is associated to the owner field (within the indicated department/division) has access to the shared user label.

 

 

To Create a Sub-Level User Label Within an Existing Label:

1.       From your “Favorites” Shortcuts Bar, click the User Labels icon.  The User Labels window appears.

2.       Right-click on the top-level label belonging to the location (department) that you want to create a sub-level label within.

3.       Select New, and then New Lower Level Item.  

4.       Complete the fields provided to assign a name for the new label, and select an icon (if you do not select an icon one will be selected for you).

5.       Use the Notes tab if you want to enter any notes regarding your new label.
