In-Person Meeting (DSJ)

Overview

Get help with a face-to-face or hybrid meeting in any conference space inside the Dorothy Swanda Jones (DSJ) Building.

Description of service

This service provides:

  • Pre-meeting walk-throughs and equipment checks (projector/TV display, microphones, speakers, podium PC, Teams/Zoom hardware)

  • Connection testing for virtual participants (Teams or Zoom)

  • Support during the meeting for unexpected technical issues

Before submitting this request

  • If this is an urgent issue, affecting a meeting that is currently in progress, please call us instead of submitting a ticket. We can be reached at extension 8553.

  • Reserve the room in Outlook first.

  • Gather the following details:

    • Meeting title, organizer, and department

    • Room name (e.g., DSJ Assembly Chambers, DSJ Conf Rm 110)

    • Date, start/end time, and expected number of in-person & virtual attendees

    • Required equipment (projector/TV, wireless mic, speakerphone, hybrid cart)

    • Presentation source device (your laptop, podium PC, or guest device)

    • Any special accessibility or recording needs

Submit requests at least two business days in advance to ensure technician availability; same-day calls are handled on a best-effort basis.

Support for after-hours meetings is typically limited to setup during business hours.

How we process this request

Once we receive your request, we will assign it to an A/V technician who will confirm details and schedule a setup window (typically 30 minutes prior to the meeting).
